What Data Do We Collect?
| Purpose | Data stored | How we get it |
|---|---|---|
| Contact form | name, e-mail, phone, company, message text | you type it |
| Newsletter sign-up | e-mail, name | tick-box “Subscribe” |
| Web analytics | IP address*, cookie ID, page actions | automatic by Google Analytics 4 and Microsoft Clarity |
| Advertising stats | cookie ID, viewed pages | automatic by Meta Pixel |
Please, note that the analytics information we receive is anonymised or pseudonymised and cannot, by itself, identify you.
By submitting the personal data listed above, you consent to its processing under the terms of this Privacy Policy.
In general, we do not process any personal data about racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data, data concerning health or data concerning a natural person’s sex life or sexual orientation (“sensitive data” or “special categories of personal data”). So, please, be sure that while you communicate with us, you do not provide us with such data.
How Do We Use Your Data?
| Purpose | What we do | Legal basis (GDPR) |
|---|---|---|
| Contact & demo requests | Reply to your message and arrange a product demo | Your consent – Art. 6 (1)(a) |
| Newsletters & offers | Send e-mails only if you subscribed | Your consent – Art. 6 (1)(a) |
| Site analytics (GA 4, Clarity) | Measure traffic and improve content | Your consent – Art. 6 (1)(a) |
| Advertising statistics (Meta Pixel) | Show you relevant ads on social platforms | Your consent – Art. 6 (1)(a) |
| Server log files | Store minimal technical logs to detect errors and keep the site secure | Our legitimate interest in IT security – Art. 6 (1)(f) |
We do not combine these data sets to identify you personally, and we never process special-category (“sensitive”) data.
Cookies and third-party services
We use Cookiebot CMP to give you full control over which non-essential cookies are stored on your device.
| Category (shown in the banner) | What it does | Providers / cookies | Legal basis |
|---|---|---|---|
| Necessary (always active) | Saves your choice in the banner and lets the site work technically. | CookieConsent (Cookiebot) | Legitimate interest (GDPR Art. 6 (1)(f)) |
| Analytics | Counts visits, sees which pages are popular, helps us improve content. | Google Analytics 4 (_ga*) – Google Ireland Ltd. Microsoft Clarity (CLID, ANONCHK, etc.) – Microsoft Ireland Operations Ltd. | Consent (GDPR Art. 6 (1)(a)) |
| Marketing | Shows you more relevant ads for our product in Facebook / Instagram. | Meta Pixel (_fbp, fbc) – Meta Platforms Ireland Ltd. | Consent (GDPR Art. 6 (1)(a)) |
How it works
On your first visit a banner appears with two optional toggles: Analytics and Marketing.
Until you press “Allow selected” or “Allow all”, the corresponding scripts are held back by Cookiebot.
Your decision is saved in a cookie called CookieConsent for 12 months.
You can reopen the settings at any time via the “Cookie settings” link in the footer and change or withdraw consent with immediate effect.
More details
A live list of every cookie—including name, purpose, provider and expiry—is generated automatically by Cookiebot and published on our dedicated Cookie Policy page.
Transfers of analytics and marketing data outside the EEA (e.g. to the USA) rely on EU Standard Contractual Clauses.
If you refuse all optional cookies, only the minimum necessary cookies (and purely technical server logs) will be set, and no personalised analytics or advertising will run.
How Long Do We Keep Your Data?
| Data type | Standard retention | Legal/exception cases |
|---|---|---|
| Contact form entries | 3 years after last interaction | may be kept up to 6 years if needed for legal claims or bookkeeping |
| Newsletter list | until consent is withdrawn | n/a |
| Google Analytics 4 data | 26 months | aggregated, non-identifiable form afterwards |
| Microsoft Clarity session data | 13 months | — |
| Meta Pixel identifiers | 180 days | reset on every new visit with consent |
| Server logs (security) | 30 days | may extend up to 6 months in case of incident investigation |
*We retain your personal data only for as long as necessary to fulfil the purposes described in this Policy. In specific situations (for example, to meet accounting or tax obligations under Polish law or to defend our legal rights), we may keep certain information for a longer period—but never longer than six years after the end of the relevant financial year in which your last interaction occurred.
Sharing and Protection
We share your personal data only with trusted service providers that help us run this website—namely hosting companies, email-delivery platforms, analytics providers (Google Ireland, Microsoft Ireland) and advertising partners (Meta Platforms Ireland). Each provider acts solely under our instructions and is bound by a data-processing agreement that ensures GDPR-level safeguards.
When data leaves the European Economic Area (for example, to Google LLC or Meta Platforms Inc. in the United States), we rely on the European Commission’s Standard Contractual Clauses (SCCs) or an equivalent legal mechanism.
We may also disclose information when required by law, to protect our rights, or to respond to valid requests from public authorities. We do not sell your personal data.
Your rights
You can ask us to:
- get a copy of your data;
- correct or delete it;
- limit or object to processing;
- withdraw consent at any time;
- complain to the Polish Data Protection Authority (UODO).
To exercise your rights, please write to privacy@smartlegalizator.com
